Totally Fitness

The Client

Totally Fitness was founded in 1997 as ‘Rent To Be Fit’ - specialists in hiring fitness equipment to the consumer and hotel markets. They soon established a reputation in the industry for quality and providing a highly responsive and flexible service. The business evolved over the years and, in 2002, re-branded to incorporate a range of services:

  • A Corporate division, offering clients a total fitness solution for commercial
    and public sector environments - including company gyms, hotels, schools
    and more.
  • A Retail division currently consisting of two showrooms - one in
    Central London and the other in Beaconsfield - with more in the pipeline.
    Clients can take advantage of expert advice and try out products before
    they purchase.
  • An Online store, selling hundreds of high quality products. The site also
    provides professional advice on creating the perfect gym, whether at home
    or at work.

Totally Fitness currently have 35 staff and operate from five separate UK locations.

The Client Issues

The company’s IT infrastructure was not developed at the same pace as the company and became ill-equipped to cope with their day to day needs, let alone the dynamic growth that was planned for the future.

Fifosys was approached in 2003, to discuss taking full responsibility for the system, to ensure that it met both current and future needs, and particularly to centralise communications and data throughout the organisation. This would free up company management to concentrate on running the business.

However, finance was always an issue in the early stages of the company's development, so a strategic, phased approach with maximum adaptability was essential.

Fifosys accepted this challenge and have been active in supporting the long term objectives of the business.

The Fifosys Solution

Since 2003, we have given Totally Fitness:

  • A single point of contact for all IT incidents, through the Fifosys Service Desk
  • A specialist website hosting provider (Rack Space), to guarantee 100%
    availability for orders to take place from their web site
  • A hosted Exchange service, stored at the Fifosys Data Centre, replacing the
    Exchange mail server from their office
  • An offsite Data Backup solution
  • A negotiated CRM (Customer Relationship Management) and ERP
    (Enterprise Resource Planning) agreement with Netsuit - saving them £50K
    on the setup cost and £15K per annum in ongoing costs

Continuous Support

Fifosys provides Totally Fitness with a complete support package and continues to take responsibility for all areas of IT in this fast-growing business.
